 Welcome to OfficeCom

      After you have installed OfficeCom software, please take a few minutes and review this information before you begin using it. These tips will make using OfficeCom easier and more efficient.

      Move the Icon for the server into the StartUp group so that it starts automatically when the server is booted. Please refer to your Windows help instructions if you are unsure how to do this.

      Right Click on the Start Button and then left click on Explore. Find the Programs folder and left click on it and then find the folder for OfficeCom. Left click on it and make a shortcut icon for the client. This will enable you to start the client software at each workstation more easily. Again refer to the Windows help if you are unsure how to do this. After the system has come up, clicking on the icon will start OfficeCom.

      If you have a sound card in the computer, you must have the speakers attached and powered. Sound cards intercept all signals and render your system speaker mute. If you do not have a sound card then the system speaker will make the audible signal.
      Have a staff meeting and discus what you might want each of the buttons to represent. If you have come from a previous light system, you can use that knowledge as a starting place. Remember that you have lots more flexibility with OfficeCom. Colors as well as button identification are customizable by you to suit your particular needs.
      OfficeCom uses a two color system. One color is the default color that is seen when the system is in the ready mode. The second color is the active color that is displayed when a message is sent. We suggest that you keep the default colors soft and to a minimum so that messages are easily deciphered even across the room from the terminal.
There are 4 buttons and a window at the bottom. There functions are:

      
Send - After selecting the buttons you wish to illuminate pressing this sends the message to all stations on the system.
      
Cancel - Pressing this button deletes your selections before they are Sent.
      
Scroll - Each time you press this button the messages on your screen will change to show all the messages in the system.
      
Accept - Press this button to cancel the message currently being shown on the screen.
      
All - If you press the down arrow in this field you will get a window that has all the stations on the system. You can select to send the message to only one station if you wish. The system defaults again to all stations for the next message. It also shows where the message came from on the receivers screen.

      Located just above these button is a white box. Left clicking in this area allows the sender to type a text message to send in addition to any buttons he has selected. Pressing Enter will send the message as will pressing
Send.

      Below is an example of what the default screen might look like. This office has one doctor, two assistants, two hygienists, and an administrative person. It has 5 operatories. The latest release of OfficeCom with 24 buttons is shown without the last six buttons configured.

 

 Now lets send a message that tells the doctor that hygienist-1 is ready for him in to check her patient in operatory #2:

 

 The active colors stand out and are very easily seen and interpreted. Lets do another example: The doctors next patient arrives. The patient administrator informs the appropriate assistant that her patient is here. It could also tell your clinical staff that the next patient is seated and ready for you.

 

      How you and your staff decide to use the system is completely configurable for your needs. It may be changed at any time. One more example showing how the text message box is utilized. In this example, Dr. Jones calls and needs to speak with the doctor. Your front desk signals that a phone call has come in and that Dr. Jones is on line 1:

 

 

How to Configure OfficeCom

      At the Server, click on Start->Programs->OfficeCom-> OfficeCom Comfiguration another OfficeCom image will appear. Left click on Controls and then again on Start configuration. Then left click on any button you wish to configure. A window will open and you may select both active and default button colors and wording in the button. Individual button sounds will be available soon.

      In this window you can change any of the three variables. The down arrows mean that if you left click a pull down menu will appear and you select from the colors shown. Important: The button label field is limited to 8 characters including any spaces. After you are satisfied with the selections select 'Okay'. You will be returned to the main window and you may select another button and repeat this process until all changes are made. Then left click on the Control button again and then on 'Exit and Save'. Wait about 20 seconds for the system to reset. Then start a messenger window. You will see your changes. If you decide to change them again just repeat the above steps... Once you are finished configuring the system press control again and exit. You will now see all the changes present on all messenger windows on the system.

      You now have all the information necessary to get started in OfficeCom. Remember it is vitally important that all of your staff and you have a complete understanding of what all the buttons configurations mean. OfficeCom will enable you and your staff to have discreet visual and audible signals to alert everyone of on going office messages.
